Halcyon builds software for clinical trial coordination. Research nurses were required to use it and actively avoided it, keeping parallel records in spreadsheets that nobody could audit.
Four tasks, not forty screens
We shadowed coordinators at three sites across two weeks. The software offered forty-two screens. The daily work consisted of four tasks: check who is due today, log a visit, flag a deviation, and answer a monitor’s query.
Everything else was quarterly, occasional, or performed by someone else entirely. We rebuilt the application around that morning sequence and pushed the remaining screens behind a search field.
Designing for interruption
A research nurse is interrupted, on average, every four minutes. Every form in the new system saves continuously and shows exactly what is missing when you return to it. No modal in the product blocks the screen behind it.
Result
Weekly active clinicians increased 52% over two quarters. Shadow spreadsheets at the three pilot sites dropped to zero. The system now covers eleven sites.
